Admin Assistant:

Responsibilities:

  • Handle administrative requests and queries from senior managers

  • Organizing and scheduling appointments with admin software

  • Planning meetings and taking detailed minutes

  • Write and distribute email, correspondence memos, letters, faxes and forms

  • Assist in the preparation of regularly scheduled reports

  • Provide general support to clients & customers

  • Act as the point of contact for internal and external clients

  • Design marketing materials - using canva & other designing platforms

  • Raise invoices & update the reconciliation files 

  • Building rapport with clients & internal staffs & managers 

  • Designing presentation materials, word documents, google forms for the trainings 

  • Creating proposal for the clients with the guidance of the managers & senior staffs 

  • Database management including the contact lists, expense sheets etc 

  • Provides administrative support to ensure efficient operation of the office.

  • Answers phone calls, schedules meetings and supports visitors.

  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.

  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.

  • Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.

  • Exhibits polite and professional communication via phone, e-mail, and mail.

  • Supports the team by performing tasks related to organization and strong communication.

  • Provides information by answering questions and requests.

  • Manage workflow by completing daily assigned tasks, ensuring that deadlines are met and work is completed correctly

  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies

  • Handle sensitive information in a confidential manner

  • Reply to email, telephone or face to face enquiries

Requirements:

  • 0-1 year experience 

  • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant

  • Knowledge of office management systems and procedures

  • Proficiency in MS Office (MS Word, MS Excel and MS PowerPoint, in particular), Google doc & Google forms

  • Excellent time management skills and the ability to prioritize work

  • Attention to detail and problem solving skills

  • Excellent written and verbal communication skills

  • Strong organizational skills & planning skills with the ability to multitask

  • Proficient computer skills, including Microsoft Office

  • Proficient in Canva & online designing software 

  • Comfortable with routinely shifting demands

  • High degree of attention to detail

  • Associate’s Degree in a related field.

  • Desire to be proactive and create a positive experience for others.
